How To Work With An Interpreter

It can be challenging to communicate through an interpreter, especially if it is your first time or you don't do it often.  Knowing these six industry best practices can help you communicate through an interpreter with ease and  in a way that achieves the desired outcome.

Phone

  1. Dial the assigned number.

  2. For Spanish, Press 1; for all other languages press 2...press 0 for help.

  3. Say the desired language or enter the language ID if you know it; press 0 for help.

  4. Enter your access code or press 0 for help.

Mobile App

  1. Download the App

  2. Log In

  3. Select desired language

  4. Select Video or Audio (enter WO information if applicable)

  5. Connect

Web App

  1. Log In the terpX platfrom

  2. Click Ondemand

  3. Select your Facility (needed for reporting purposes)

  4. Select desired language

  5. Select Video or Audio (enter WO information if applicable)

  6. Connect

User Requements

  1. Your organization must have an active account.

  2. You must have a user profile to login. Click here to register .

  3. Access code(s) to use when connecting by phone are unique to each client. Contact us if you do not have your access code(s).

Please note that these QRGs must be used with the unique account information that was provided to your organization's point of contact (POC). How

Schedule An Interpreter

Generally speaking, we encourage clients to ONLY schedule appointments for in-person meetings or virtual events that are taking place through 3rd party applications (e.g., Zoom, Teams, Google Meets).

Enterprise

Document Translation

Submit your documents for translation in a secure portal or by email. Each project receives a quote at no cost to you unless the contract specifies standard rates for translation services. Once approved, a project manager is assigned accordingly.

In terpX

  1. Log In 

  2. Click "Create Work Order"

  3. Complete Form

  4. Submit (Use replicate or set as reoccurring as needed)

  5. NOTE: Your organization must have an active account and you must have a user profile to login. If you do not have one,  click here to register.  For immediate access, be sure to register with your organization's registration code. If you do not have a registration code, contact us.


By Phone

  1. Dial your assigned number. If you do not know it, call 877-VOLATIA

  2. Provide your information (Name, email, phone, organization)

  3. Provide work order details (Facility requesting service, Onsite or Virtual request, language, date and time of service, name or ID of service recipient, and any special instructions). If the event is virtual, be sure to provide a link (Zoom, Teams, Google Meets) in the comment section. 

By Email

  1. Send request to customerservice@volatia.com

  2. Make sure your email contains your full name, contact phone, and your organization.

  3. Provide work order details (Facility requesting service, Onsite or Virtual request, language, date and time of service, name or ID of service recipient, and any special instructions).

Scheduling Tips

  1. Replicate Feature - This function allows the user to submit the original request and keep a copy. Changes can then be made on the copy. 

  2. Reoccurring Feature - Use when the work order is needed on a set pattern. For example, an appointment every Monday and Friday for the next six weeks.

  3. Attachments - Use to upload relevant documents, as needed.

  4. Submit

Email

  1. Send request to translation@volatia.com

  2. Make sure your email contains your full name, contact phone, and your organization.

  3. Specify the source language and the target language. 

  4. Attach a Word or PDF file of the content, if available. 

  5. Indicate the desired delivery date and time.

  6. Provide any special instructions.

  7. NOTE: A quote will only be provided if you do not have a contract that specifies the rates for this service.
